Registration terms

Waiver of Liability and Release

Attendee assumes all risk and accepts sole responsibility for any injury (including, but not limited to, personal injury, disability and death), illness, damage, loss, claim, liability or expense of any kind that may be incurred by Attendee in connection with attendance at the Conference. The Participant hereby releases, agrees not to sue, discharges and holds harmless the Conference, its employees, agents and representatives from any and all such claims, including any and all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or related to the same.

Specifically with respect to the global COVID-19 pandemic, Participant acknowledges the highly contagious nature of COVID-19 and voluntarily accepts the risk of exposure or infection through participation in the Conference and that such exposure or infection may result in Participant's personal injury, illness, disability and/or death. Attendee understands that the risk of exposure to or infection with COVID-19 at the Conference may result from the acts, omissions or negligence of other attendees at the Event or their families, colleagues or other persons with whom they come into contact. Accordingly, Participant understands and agrees that this Release includes all claims based on the acts, omissions or negligence of the Conference Organisers, their employees, agents and representatives, whether COVID-19 infection occurs before, during or after participation in the Conference.

In addition to all other rules and regulations pertaining to the Participant's participation in the Conference, the Participant agrees to comply with all COVID-related procedures implemented by the Conference Organisers and the University of Bern, including but not limited to the wearing of masks and the requirement for social distancing and restrictions on certain activities that pose a higher COVID-related risk, in order to protect the health and safety of all conference participants to the maximum extent possible.

Cancellation

Cancellations received by 31 December 2022: full refund
Cancellations between 1 January - 14 January 2023: full refund less 30 CHF handling fee
Deadline for last cancellation: no refund from 15 January 2023

Please remember that canceling your registration does not automatically cancel your hotel and travel arrangements. Individuals are responsible for canceling their own hotel and travel reservations. The Conference Organisers strongly recommends to arrange individual travel insurance and check cancellation policy of travel arrangements and accommodation.

Event cancellation

The Conference Organiser reserves the right at any time and at its sole discretion to:

  • cancel or postpone any Event; and/or
  • cancel a delegate’s registration at an Event if the Conference Organiser has reasonable grounds for believing that either: (a) the delegate’s attendance at the Event might be damaging or otherwise detrimental to the reputation of the Conference; and/or (b) the delegate is likely to fail to comply with the Conference’s code of conduct at the Event or otherwise breach these terms and conditions.

In the event of such a cancellation or, if relevant, you are unable to attend any re-arranged date for the Event, the Conference Organiser will refund any registration fees paid, direct to the delegate upon proof of purchase, and this refund (if any) shall be the full extent of the Conference Organiser’s liability  arising out of such cancellation or postponement.  If you have not made any payments in relation to the Event, then the Conference Organiser shall have no liability to you arising out of such cancellation or postponement.

In the event of cancellation or postponement, the Conference Organiser will use reasonable endeavours to alert you and details of any cancellation or postponement will be posted on the appropriate Event website. Delegates are responsible for checking this information prior to the Event.

Digital and Other Recordings

Professional photographs, audio, and video will be captured during the Conference. Conference Attendees wearing lanyards indicating their approval to be photographed and recorded, grant the Conference Organisers and their representatives permission to photograph and/or record them during Conference activities and to use such recordings. Uses of recordings may include, but are not limited to, educational and membership recruitment promotions, post-conference reporting, and social media activities.

The Conference Organiser shall not be liable for any delay or failure in the performance of its obligations under this contract to the extent that such delay or failure is caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, venue availability or other similar causes beyond its control and not due to the fault or negligence of the Conference Organiser or its subcontractors.  For one or more of these reasons, the conference organiser may postpone, reschedule or cancel the event without the conference organiser being held liable.  If the conference cannot take place or is postponed in accordance with this section, the conference organiser shall not be liable to participants for any damage, costs or losses incurred, such as transport costs, accommodation costs or financial losses.
